1. Introduction My Soul Connector Ltd (“we”, “our”, “us”) is committed to protecting your privacy. This Privacy Policy explains what personal data we collect, how we use it, who we share it with, how long we keep it and the rights you have under UK data protection law including the UK GDPR and the Data Protection Act 2018.

3. What data we collect We collect and process the following categories of personal data:

Usage data: App and site activity, session information, and chat transcripts; some chat content is reviewed by automated systems and by human moderators for safety and to enforce our community standards.

Financial/payment metadata: Payment transaction records and receipts necessary for accounting; payment card details are processed by our payment provider and are not stored on My Soul Connector servers.

Wellbeing data (optional): Responses to optional pre/post surveys about emotional health, provided with consent.
4. How we use your data We use personal data to:

Verify users and maintain community safety (legitimate interest and legal obligation).

Provide matchmaking services, introductions and chat features, and to perform the contract for those services.

Moderate chats and prevent harmful behaviour (legitimate interest).

Conduct anonymised research and outcome measurement to improve services (legitimate interest, and consent where required).

Process payments and fulfil accounting obligations (contract and legal obligation).

We do not sell your personal data.
5. Lawful basis for processing We rely on the following lawful bases, as relevant to each processing activity:

Legal obligation: where we must process data to comply with the law, for example safeguarding or retention for tax purposes.

Legitimate interests: to improve platform safety, prevent fraud and run and develop the service (we balance these interests against your rights).

Third‑party verification partners who perform identity and background checks off‑site. We provide these partners only with the minimum information they require to perform checks. My Soul Connector does not retain ID documents or detailed background‑check files.

Cloud and hosting providers for storage and platform operation (services selected with security and UK/EU jurisdiction in mind).

8. Data retention We retain personal data only for as long as necessary for the purposes set out in this policy and to meet legal obligations:

Verification status and verification outcome metadata: retained for operational reasons up to six years after account closure. ID documents and detailed background‑check records are not stored by My Soul Connector and are retained only by the third‑party verification provider according to their retention rules.

Chat transcripts and moderation logs: retained for up to 12 months after account closure for safety, audit and dispute resolution.

Wellbeing survey data: retained for up to two years, then anonymised for research purposes.

Financial and accounting records: retained for six years to meet legal and tax obligations.
When data is no longer required we securely delete it or, where appropriate, anonymise it.
9. Security We use appropriate technical and organisational measures to protect personal data. Access to identifying information is limited to authorised staff and trusted service providers on a need‑to‑know basis.
10. Payment card details are processed by our payment provider (Wix Payments, typically powered by Stripe in the UK) and are not stored on My Soul Connector’s servers; we only retain transaction metadata and receipts for accounting.

12. Automated decision‑making and profiling We use automated systems to help produce compatibility scores and to flag safety risks in chats. These systems inform decisions but are reviewed by human moderators. If you have concerns about automated decisions that significantly affect you, contact hello@mysoulconnector.co.uk.
13. Our services are intended for adults aged 18 and over. We do not knowingly collect personal data from children. If we become aware that a child has provided us with personal data, we will take steps to delete that data.
14. Changes to this policy We may update this policy from time to time. The date of the latest revision will be shown on the policy page. Where changes are material, we will aim to notify users by email or in‑app notification.
